Duke University Medical Center Department of Pediatrics
Occupational Summary: Position reports to the Chair of the Department of Pediatrics and is responsible for all of the administrative management and coordination of various business related functions including finance, budget, personnel, space and facilities planning, grant administration, compliance, contract development, and policy interpretation in the Department of Pediatrics. Position will be responsible for administering and overseeing the practice plan activities of the physicians in the Department of Pediatrics. Position will have a prominent role in the strategic and business planning activities of the Department of Pediatrics..
Work Performed: Provide direction and oversight of the business, financial, and administrative functions of the Department of Pediatrics.
Provide appropriate counsel, business, and strategic planning advice for the short and long-term management and development of clinical and academic programs. Provide direction and oversight of the annual and long-term budgetary planning process for the Department of Pediatrics.
Manage resources for the Department of Pediatrics, in collaboration with the Chair, to insure that Department goals and objectives are met. These resources include funding, space, manpower, equipment, and technology.
Insure the appropriate monitoring, verification, and reconciliation of departmental funds. Insure the preparation of financial statements reflecting status of programs and activities as well as to support the short and long-term planning of the Department.
Provide direction and oversight of the Department’s operations such that they are managed in an effective, efficient, and compliant manner.
Maintain liaison with other Departments, School of Medicine, Private Diagnostic Clinic, Duke University, and Duke Health System entities to coordinate departmental business, accomplish directives, facilitate new program development, and to insure the resolution of problems.
Work closely with Private Diagnostic Clinic leadership and Department Chair in the administration of the Department’s practice plan activities and finances.
Maintain liaison with external entities to coordinate clinical and academic programs that involve resources of the Department of Pediatrics. Negotiate and implement appropriate contracts for any programs interfacing services and programs outside the Department of Pediatrics.
Design and oversee the production of specialized financial and operational analyses as may be requested by the Department faculty, Chair, School of Medicine, and Private Diagnostic Clinic.
Coordinate the compilation and preparation of operational and financial reports and analyses setting forth progress, noting adverse trends, and making appropriate recommendations for operational adjustments.
Direct and manage Human Resources functions within the Department of Pediatrics. Direct and supervise Chair’s Business Office staff and manage personnel activities.
Provide mentorship and advice for administrative staff within the Department of Pediatrics.
Provide recommendations and direction for divisional administrative management.
Provide direction and oversight for the planning and coordination of construction, relocation and maintenance activities within the department.
Represent Chair of the Department of Pediatrics in meetings, conferences and other affairs of an administrative and financial nature.
Perform other related duties incidental to the work described herein.
Strong analytical skills. Must be able to look at standard and custom reports and pick out potential issues which require further review/analysis. Related to this the incumbent should have an inquisitive mind. Questions should be posed, reports run to test systems, look for potential problems and then clearly articulate those to the management team for further review. Experience with Microsoft Excel and other standard business tools is highly desirable. Excellent English oral and written communication skills are essential.
MINIMUM HIRING SPECIFICATIONS:
Education/Training: Work requires a Bachelor's degree in Business Administration, Hospital Administration, Accounting or a closely related field. A Master’s Degree in one of these fields is preferred.
Experience: Work requires a minimum of six years in managing the business and financial operations of a large, complex clinical or academic department or practice plan. Specific experience in fund accounting, billing operations, reimbursement, financial control systems, managed care, information systems, and all financial aspects relating to complex academic health systems. Experience should also include working collaboratively with a wide constituency across the School of Medicine including Department Chairs, Division Chiefs, Business Administrators, Medical School financial leadership, as well as other financial officials. Must have experience in managing a large staff.
