Board Member Job Descriptions

> President

  1. Oversees all Board member activities.
  2. Appoints Committee members; maintains lists of Committee members. Oversees activities of all standing and adhoc committees.
  3. Develops agendas for Board meetings and annual Business meeting; presides over Board meetings and the annual Business meeting.
  4. Writes column for newsletter.
  5. Coordinates bylaws changes.
  6. Acts as liaison with outside groups, e.g. APA, APSPDC, etc.; notifies APA, MGMA,AMSPDC of changes in Board members.
  7. Ensures adequate/appropriate communication among members of the board and the membership.
  8. Contacts administrators of AAMC schools not represented in AAAP for recruitment.
  9. Documents policy statements for inclusion in Red Books; ensures accuracy of Red Books; maintains list of Red Books and ensures transfer to new members.
  10. Prints certificates for departing board members.

 
> President-Elect

  1. Chairs Finance and Legal Committee
  2. Advises Program Director-elect and Site Host re: annual meeting
  3. Offers suggestions for Board membership nominations
  4. Obtains plaque for outgoing president
  5. Directs fund raising effort for annual meeting

 
> Treasurer (2-year term)

  1. Acts as liaison with designated accounting firm for biennial financial review
  2. Completes tax filing
  3. Completes financial reporting as needed
  4. Pays all organization expenses
  5. Maintains bank account
  6. Posts bond according to bylaws
  7. Presents report of financial position at Board and Business meetings
  8. Serves as ex-officio member of Finance and Legal Committee

 
> Secretary/Web Master (2-year term)

  1. Keeps minutes of Board and Business meetings in required format
  2. Distributes minutes to board members and membership within 4 weeks of meeting
  3. Presents minutes of prior meetings for approval by board or membership
  4. Develops and maintains "problem list" of:
    • summary of actions taken
    • notation of follow-up actions
    • distribution to appropriate Board members for follow-up
  5. Has stationery printed and distributed to Board members
  6. Sends members notification of meetings or other important information as requested by the Board
  7. Obtains dates and locations of APA and AMSPDC meetings
  8. Maintains AAAP photo albums

 
> Program Director

  1. Develops and conducts annual meeting for upcoming year
  2. Develops meeting schedule
  3. Prepares notebook and other materials as needed with Site Host
  4. Identifies and contacts speakers
  5. Develops budget with Site Host
  6. Presents plans to Board at all Board meetings
  7. Presents budget to Board, discusses necessary registration and other fees with Board
  8. Writes column about upcoming meeting in newsletter
  9. Prepares and compiles meeting evaluation forms for Board
  10. Presents final budget after conclusion of meeting

 
> Program Director-Elect

  1. Develops and conducts the annual meeting 2 years from time of Board appointment
  2. Makes preliminary plans with Site Host and President-Elect
  3. Presents plans and budget to Board at all Board meetings

 
> Membership Director (2-year term)

  1. Sends out dues notices; records updates and forwards payments to Treasurer
  2. Sends welcome letter and orientation materials to new members, including:
    • Directory
    • Salary survey
    • Newsletter
    • Information on upcoming annual meeting
  3. Maintains membership list and categories
  4. Produces annual membership list and quarterly updates for Board members
  5. Identifies AMSPDC and AAMC schools; identifies schools with no representation
  6. Distributes membership mailing labels as requested by Board members
  7. Presents report of membership at Board and Business meetings
  8. Updates membership brochure
  9. Compiles, has printed and distributes annual membership directory
